The Benefits Specialist is a hands-on individual contributor, who plays a key role in planning, developing, implementing, administering, and maintaining benefits programs that support Toshiba's Total Rewards strategy.

Responsibilities:

  • Responsible for the administration and communication of the organization's employee benefit plans, to include but not limited to medical, dental, vision, life, disability, HSA, ancillary and supplemental plans, FMLA and leaves of absences, PPACA, COBRA, 401(k) retirement, and frozen pension plan, ensuring compliance with regulatory requirements and plan guidelines.
  • Serve as a technical benefits expert on plan and program administration questions and work with vendors for issue resolution. Pro-actively complete, coordinate, and implement new benefit programs, cyclical plan activity, and program changes.
  • Responsible for benefit plan program compliance activities including but not limited to non-discrimination testing, compliance filings (5500s, ACA), COBRA, audits, etc. Ensure appropriate distribution of compliance notices (i.e., Summary Annual Reports, Health Care Exchange Notices, Initial COBRA Rights, 1095-C).
  • Responsible for the investigation of operational or data issues to ensure prompt and accurate resolution. Find creative and innovative ways to manage and improve benefit administration processes and procedures, promoting system automation and employee self-service.
  • Responsible for the administration oversight of the leave of absence program.
  • Partner with HRIS to ensure the benefit module is configured accurately for cyclical system updates, including eligibility, annual enrollment and QLEs. Recommend and work through automation and streamlining of processes with HRIS.
  • Responsible for reconciliation of payroll reports for HSA and 401(k) funding, including researching and correcting discrepancies.
  • Partner with internal groups (i.e., HR, payroll, legal, accounting, treasury, accounts payable) for timely and accurate benefits administration.
  • Provide coverage backup for Benefits Representative for vacations and support when needed.
  • Provide project support and help lead as needed in any area of benefits and assume additional responsibilities as requested.
  • Exercise discretion in situations where the policy may not specifically address the unique situation and ensure compliance to company guidelines.
  • Perform data and programmatic analysis, assess market trends, benchmark programs, complete surveys, and prepare presentations summarizing results.
  • Independently manage time effectively and prioritize tasks, showing ownership of one's work.
  • Other duties as assigned.


Education:

  • Bachelor's degree in human resources, actuary sciences, business administration, finance, or related field preferred.
  • CEBS/CBP certification(s) a plus.


Experience:

  • 5 or more years of experience in a similar role, focused on the analysis of benefits with an employee population of 1000 plus employees.
  • Experience with Total Rewards programs and in-depth experience administering Health Welfare Employee Benefit programs and Retirement plans (including defined benefit and defined contribution plans).
  • Experience in data analysis and creating presentations, process mapping and formal project management tools and philosophies; strong planning, project management and organizational skills; strong sense of urgency; strong analytical abilities, resourcefulness, and attention to detail.
  • Demonstrated knowledge of government regulations regarding health, welfare and retirement benefits.
  • Analytical skills with expert-level ability using Microsoft Excel Experience with an HRIS system, UKG preferred. Ability to quickly get up to speed and master new applications and software in critical.
  • Strong analytical and critical thinking skills; ability to perform detailed analysis of problems and identify resolutions; understands when and how to escalate issues to manage risk. Results-oriented; successfully handles multiple tasks, takes initiative to improve their own performance, works intensely towards challenging goals and persists in the face of obstacles or setbacks while maintaining quality of work.
  • Deep personal commitment to integrity, excellent judgment, and the highest standards of ethics.
  • Must display the highest level of diplomacy, tact and discretion, with comfort in handling and maintaining confidential information.
  • Seasoned presenter and business writer, with the ability to communicate with all levels in the organization formally and informally using multiple types of media.
  • Demonstrates a collaborative relationship across company departments.
  • Positive, professional demeanor with excellent interpersonal and organizational skills.
  • Agile and comfortable with changing priorities.
  • Bilingual skills (English/Spanish) a plus.


Working Environment:

  • The majority of work takes place in an office and the work environment is that of a typical office environment in a manufacturing setting where noise levels are usually moderate. Frequently the employee will interact with personnel in the plant and may be exposed to higher noise levels.
